Privacy Policy

AlignedFTW is a team assistant for youth sports, operated by CodifyIQ. Coaches use it to reach their team about practices, games, and availability, and families use it to manage how they are reached and to answer. That means we handle contact details for adults and information about their children, so this policy explains plainly what we collect, what we do with it, who else touches it, and how to get it removed.
1. Information we collect
Account information
When a coach, parent, guardian, or player creates an account we collect their name and email address. Most people sign in with Google or Apple, in which case we do not receive or store the password for that account. You can also sign in with a single-use code we email to an address you give us. The code works once and expires shortly after it is sent; we keep the record of it, with the address it was sent to, so a used or expired code cannot be replayed.
Roster information entered about others
A team roster is built up by the coach and by the families on it, and typically includes:
- Player first and last names, and a jersey number or position
- A player's date of birth, where the team enters one — used only to apply the contact rules in section 4
- Parent or guardian names
- Parent or guardian mobile phone numbers and email addresses
- Which contact method each family prefers
- Team schedule details, including practice and game times and locations
This may be typed in directly, or brought in from a roster file or calendar file the coach already has.
Information families give us directly
Families are not limited to what their coach enters. A parent, guardian, or player can provide and manage their own information themselves — adding or removing the people who should receive messages on a player's behalf, updating their own contact details, and choosing which channel they prefer. Where you manage your own information, you can change or remove it at any time without going through your coach.
Families can also respond to an availability request through the link in their message, without signing in at all.
Information created by using the service
- Messages sent to families, and whether each one was delivered or failed
- Availability responses families submit through their reply link
- Basic technical logs needed to operate and secure the service
We do not collect payment card details, government identifiers, health records, or precise device location. We do not buy contact information from data brokers, and we do not track families across other websites or apps.
2. How we use information
We use the information above only to run the service:
- To send the messages a coach has asked us to send
- To collect availability answers and show the team who can make it to an event
- To show when a message did not reach someone, so it can be followed up
- To let families manage their own contact details and channel preferences
- To keep accounts secure and to diagnose problems
We do not sell personal information. We do not share it with third parties for their own marketing, and we do not use family contact information to advertise to them.
3. Text messages and consent
A phone number reaches us one of two ways, and consent works differently for each. When an adult enters their own number, that is their own direct consent to be contacted about team activity. When a coach adds a number on someone's behalf, the coach is responsible for having obtained that person's consent first, and warrants as much in our terms.
If the number belongs to a player under 18, consent is given by their parent or guardian — not by the player. Whoever enters a number, coach or family member, confirms when they choose to text it that they have the number holder's permission to be texted about team activity, and that where the holder is a minor that permission came from a parent or guardian. We record who confirmed and when. The first text a number receives names the team and says how to stop.
Where a player's date of birth is on the roster we also enforce this directly: a player under 13 is never one of their own contacts, and a player under 14 who is a contact always has a parent or guardian contact beside them. Every message about a player goes to all of that player's contacts, so an adult always receives what the player receives, and that adult can remove the player's contact at any time. Where no date of birth has been entered we have no age to check, and the confirmation above is what the rule rests on.
- Messages are about team logistics only — schedule changes, availability requests, reminders, and similar. We do not send marketing or promotional texts.
- Message frequency varies with team activity. It depends on how often the coach sends, and on the automatic reminders the coach has turned on.
- Message and data rates may apply.
- Reply STOP at any time to stop receiving messages. Reply HELP for help, or contact us at the address below.
- You can also change your preferred channel or remove yourself directly, without asking your coach.
Mobile opt-in information is never shared. Phone numbers and consent to receive text messages are not shared with, sold to, or rented to any third party for marketing purposes, and are not shared with affiliates. Phone numbers are disclosed only to the messaging providers described in section 6, strictly to deliver the messages a coach has sent or scheduled.
4. Children's information
AlignedFTW is built for youth sports, so rosters contain information about minors — typically a player's name, and their team and schedule.
Adults run teams and make changes. Coaches, parents, and guardians hold accounts. A player aged 13 or older who is a contact in their own right may also sign in to see their own team and schedule, but only an adult can change anything. We do not knowingly allow a child under 13 to create an account. Who receives a message depends on the age group: for younger teams the recipients are the parent or guardian contacts on the roster, while on older teams a player may be a contact in their own right and receive messages directly. That choice rests with the player's family: a parent or guardian decides whether their child is reached directly, and can add or remove contacts — including the player — at any time. Where a date of birth is on the roster, a player under 14 is never the only contact on their roster spot; and because every message about a player reaches all of that player's contacts, an adult on the spot always receives what the player receives.
Information about a player is entered by their coach or by their own parent or guardian. The team's coaches and administrators see all of it. The player's own family contacts see all of it and can change it. Other families on the same team see only what being teammates requires: a player's name, jersey number and role, and whether they have said they can make it to a particular event. Contact details, dates of birth and the notes a family leaves with an answer are never shown to another family. We do not use children's information to build profiles, to advertise, or for any purpose beyond running the team's communication.
A parent or guardian can see, correct, and delete much of this information themselves. They may also ask us directly at any time, by writing to the address in section 11. We will act on verified requests promptly.
5. Automated processing
Some features use automated systems, including third-party AI services, to make coaches' work faster:
- Reading an uploaded roster or schedule file and turning it into structured team data
- Interpreting schedule entries, and resolving venue names to addresses
- Drafting suggested message wording for a coach to review
To do this, the relevant content is sent to our AI and mapping providers for processing and returned to us. We do not permit these providers to use the information to train their models. No decision that meaningfully affects a person is made solely by an automated system — a coach reviews and sends.
6. Who we share information with
We share information only with service providers who process it on our behalf, under contract, and only as needed to operate AlignedFTW. They fall into these categories:
- Messaging providers — delivering text messages and email
- Cloud infrastructure providers — hosting, database, and authentication
- AI and mapping providers — the automated processing described in section 5
These providers may only use the information to perform the service they provide to us. We will share the current list of them with you on request — write to us at the address in section 11.
We may also disclose information if required by law, or to protect the rights and safety of our users. If AlignedFTW is ever acquired, information may transfer as part of that transaction, and this policy will continue to apply until you are given notice of a change.
7. How long we keep information
We keep roster and message information for as long as the team is in use. When a coach deletes their account, we delete the teams they created, with their roster and message data, right away, and backup copies expire within 30 days. We keep a record that terms were accepted and that permission was given to text a number, without the person's name or email address, as evidence of consent. 8. Security
Information is stored on major cloud infrastructure in the United States, encrypted in transit and at rest. Access is limited to the people who need it to operate the service. Reply links sent to families are single-purpose tokens that grant access only to that one availability question, and nothing else.
No system is perfectly secure, and we cannot guarantee absolute security. If a breach affects your information, we will notify you as required by law.
9. Your choices and rights
You may, at any time:
- Stop text messages by replying STOP
- Change your preferred contact method, or remove yourself from a roster, yourself
- Ask us for a copy of the information we hold about you or your child
- Ask us to correct information that is wrong
- Ask us to delete your information
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act. We honor these requests regardless of where you live, and we will not treat you differently for exercising them. Write to us at the address below and we will respond within the time the applicable law requires.
10. Changes to this policy
If we change this policy we will update the date at the top of this page. If the change is significant, we will give notice through the service or by email before it takes effect.
